Getting started
A diary and client book for appointment businesses — salons, clinics, studios. It holds your calendar, your clients, your services and prices, an online booking page for your customers, WhatsApp reminders, and your invoices and takings, in one place.
Press “Start free”, enter your business name, your phone and an email, and confirm the code we text you. The free plan needs no credit card and you can start booking the same minute.
Free: calendar, clients, services and the waiting list, for one team member, with no message sending. Starter adds online booking, WhatsApp from the app, reports and an SMS allowance. Pro adds automatic reminders, Google Calendar sync, finances, tax documents, reviews and gift cards. Business adds memberships and resource management, with an unlimited team.
Settings → Plan. Choose another plan and you are charged only the difference for the rest of the month; move down and the unused part is credited. Everything you have entered stays whichever plan you are on — a lower plan hides sections, it never deletes your data.
Four things, in this order: add your services with their prices and durations, set your working hours on the Team page, send yourself your booking link to see what customers see, and import your client list. After that the diary is ready for real bookings.
The app is in Hebrew, English, Russian and Arabic, and each person on your team can use whichever they prefer — the switcher is at the bottom of the menu. Your booking page follows the visitor's choice, and messages to clients have their own language setting per team member.
Yes — Lumea is on Google Play, and the website also installs to your home screen from the browser menu. The diary, clients and WhatsApp all work on a phone; plans and payments are handled on the website.
The diary
Click an empty slot in the calendar, or press New, and choose “client appointment”. Pick the client, tick the services and confirm the time. A service is required — it is what sets the price and the length.
Press New and choose “personal entry” — a break, an errand, a delivery. It takes the time out of the diary and out of online booking. A title is optional.
Drag it to the new slot on the calendar, or open it and change the date or time. Either way the app then offers to send the client a message about the change — you decide whether it goes.
Open it and press delete. The slot frees immediately, and you are offered a message to the client. If somebody is on the waiting list for that time, offer it to them from the waiting-list page.
Yes. The toolbar switches between day, week and month, and between one person and the whole team — in day view each team member gets their own column. On a phone, swipe sideways to move between days or weeks, and today's column is framed so it stands out.
Press and hold the day's header in the calendar (or double-click it on a computer). You can block the day from booking altogether, or give it its own hours with an optional break. It applies to the diary and to online booking together, so a day you close cannot still be booked online.
Only if you allow it. It is a switch on each team member's Schedule tab, so one stylist can run two chairs while another cannot. When it is on, overlapping appointments sit side by side in the column instead of hiding each other.
Each appointment takes the colour of its service category, so you can read the day at a glance. The day itself is tinted when it is a holiday, a day off or a personal event, and today's column is framed. The legend under the calendar names every one of them.
Yes, on the Pro plan and above. Each team member connects their own Google account from their page, and from then on appointments travel both ways — what you book here appears there, and what they block there blocks the time here.
Clients
Clients → Add client: a name and a phone are all it takes. You can also add somebody mid-booking — when you type a name the appointment editor does not recognise, it offers to create them on the spot.
Yes. Clients → Import. Download the template in your language, fill it in, and upload it — you then see every row judged before anything is written: ready, warning, already a client, or an error with the reason. A phone you already have on file is skipped, so importing the same file twice duplicates nobody.
Type into the search box at the top of any screen — it searches by name and by phone and takes you straight to the list. The list itself is sorted alphabetically in your own language.
Open them from the client list or from any appointment. The card holds their visits, their documents, their balance and your notes, plus a direct link to their WhatsApp conversation.
A running number each client is given once, so you can refer to somebody by number. It is never reused — delete a client and their number simply stays unused, which keeps old notes and old documents pointing at the right person.
You are shown the real numbers first, split in two: what is destroyed — their WhatsApp conversation and any memberships — and what is kept but unlinked, which is their appointments, documents, reviews and waiting-list entries. Issued invoices are never rewritten; they keep the name they were issued under.
Yes — the Export button on the clients page writes a CSV that opens in Excel with Hebrew, Arabic and Russian names intact. It exports the whole filtered list, not just the page you are looking at.
For a client who wants a time you do not have. Put them on the list with what they are waiting for, and when a slot frees — a cancellation, usually — the page lets you offer it to them in one press. It is on every plan, including the free one.
Services & prices
Services → Add service. Give it a name, a duration and a price, put it in a category, and choose which team members offer it — that last one is what decides who a client can book it with online.
They group your services and give them a colour, which is the colour the appointment wears in the diary. You can use the built-in ones or rename them and add your own; the booking page shows services grouped the same way.
Yes — drag a service by its grip and the list keeps your arrangement from then on, in the app, on the price list and on the booking page. Until you drag one, services are listed alphabetically within each category. A service can only be dragged inside its own category; to move it elsewhere, change its category in the editor.
A running number the service keeps for good, so your team can say “book her a 4” and mean the same treatment next year. Deleting a service leaves a gap rather than renumbering everything after it.
Yes. The services page builds a one-page price list that is fitted to the page — print it, or send it to a client as a PDF from the same dialog. You can leave categories out if you want a shorter card.
Yes — switch off online booking on that service. Your team can still book it from the diary, but a customer will not see it on your public page. It is the usual way to handle a treatment that needs a conversation first.
Your team
Team → Add. Enter their name, pick the services they offer and set their working hours. Giving them a sign-in is optional — a member can exist in the diary without ever logging in.
In their page, set an email and a password. They then sign in at the same address you do and land on their own calendar.
The calendar, clients, services, the waiting list, reviews, memberships, gift cards, the WhatsApp screen and their own profile. Finances, tax documents, settings, the team page and your assets are the owner's alone — a staff member who types the address gets a “page not found”, not a glimpse.
On each team member's Schedule tab, per weekday. Those hours are what the diary draws and what online booking offers; a single date can be given its own hours from the calendar instead.
Each team member can load a holiday set — the Jewish or the civil calendar — and the dates are worked out for any year rather than listed, so they stay right. Personal days off are added on the same tab, and both tint the day in the calendar with their name beside the date.
You are warned first, with real counts, because it takes their whole diary with them — every appointment they ever had, including the ones still ahead. Move those to somebody else before deleting. Their documents and the clients assigned to them are kept.
Online booking
A page of your own with your name, logo and services, where a customer picks a service, a team member and a free time. It shows only times that are genuinely free — your hours, your existing appointments and your buffer are all taken into account before a slot is offered.
The Share button in the header gives you the link, and also offers to send a client your free times or your price list. Put the link in your Instagram bio, your WhatsApp profile and anywhere else customers look for you.
Yes. Each member's page has a personal booking link that opens the same page with only their services and their times. It is what a stylist puts on their own Instagram.
Settings → Booking rules sets how far ahead booking opens, how late somebody may still book or cancel, and the buffer between visits. They apply to your public page; your own team is never restricted by them.
“Buffer between visits”, in Settings → Booking rules — the same value appears on the calendar settings card. Set it to 30 and online booking will only offer a slot with half an hour free after the treatment, so you are never booked back to back.
Because that is the slot interval, and you can change it. In the calendar settings card, set it to 15 and the booking page offers quarter-hour starts instead. It only changes which start times are offered — not how long a treatment takes.
Yes — Settings → Business has a header image beside the logo. It is drawn softly behind the header so your name, your rating and the booking button stay easy to read on top of it.
WhatsApp, SMS & reminders
WhatsApp by default, because that is where your clients already are. SMS is used only where somebody chose it — a reminder rule set to SMS, the SMS option in the message box, or a sign-in code. Every text is counted against your plan's monthly allowance; WhatsApp is not.
On the WhatsApp screen, press Connect and complete Meta's dialog with the Facebook account that manages your business. You can bring a number that already runs on the WhatsApp Business app, or set up a new one. Once connected, messages you send and replies you receive all appear in one place.
Reminder Center, on the Pro plan and above. A rule says when it goes — a number of hours before the visit, or at a fixed time of day for tomorrow's appointments — and on which weekdays it may be sent, so a business closed on Saturday can remind Sunday's clients on Saturday evening instead. You can have several rules at once.
Yes — the message templates tab holds the wording for each kind of message, and you can put the client's name, the date, the day, the time and the service into it. Each team member may keep their own wording, and the preview shows the message filled in with a real appointment rather than invented names.
WhatsApp only delivers a free-written message within 24 hours of the client's own last message. Outside that window you send an approved template instead, and the screen offers it with one press. It is WhatsApp's rule, not ours — and the banner tells you when the client last wrote, so you can see why.
It depends on the plan, and the number is shown beside your plan in Settings — “37 of 100 SMS used this month”. The allowance resets each calendar month, and a message the gateway refuses is not counted against it.
On the WhatsApp screen, as one conversation per client. An SMS reply lands in the same conversation, badged so you can see which way it came — there is one thread per client whichever route the message travelled.
Switch on “do not send messages” in their card. From then on nothing is sent to them: no reminder, no confirmation, no price list. The buttons on their card grey out and say why, so nobody on your team sends by accident.
Yes. Without a connection every message button hands the message to WhatsApp on your own phone or computer with the text already written — you press send there. Automatic reminders are the one thing that needs a connected account, because nobody is at a keyboard when they go out.
Payments, invoices & money
Open the appointment and mark it paid, choosing how — cash, card, transfer, cheque and so on. If your team has phones, each member is also prompted a few minutes after a visit ends: what was it, and how was it paid, settled in one tap.
From the Documents section, on the Pro plan and above. Pick the customer, the lines and the payment, and issue — the document takes the next number in an unbroken series and is frozen from that moment. Every issued document carries a digital seal and a QR code anyone can use to check it has not been altered.
Your registered business name and tax ID, in Settings → Documents. Without them nothing can be issued — a document that looks right and is not valid is worse than one that was never raised. Your address, phone and logo are printed on the letterhead and are worth filling in at the same time.
Not by editing it: an issued document is frozen, which is what makes the numbering trustworthy. You reverse it with a credit note and issue a corrected one. The list shows both sides of the reversal, so the history reads honestly.
Yes — the export is in the documents area and produces the מבנה אחיד file for a period you choose, with the production report beside it. It is built from your issued documents, so it reflects exactly what you gave your customers.
Finances, on the Pro plan and above: income and expenses over any period you pick, broken down by service, with the dashboard showing today at a glance. The period chips are the same everywhere in the app, so “this month” means the same month on every screen.
Yes, on the Pro plan and above. Issue a card for an amount, give it to a recipient with a validity period, and redeem it against a visit — the remaining balance follows the card. Coupons are managed on the same screen.
Yes, on the Business plan. Define a plan — so many visits, or a period, at a price — sell it to a client, and their remaining visits are tracked as they come in.
Your account
Yes — Settings → Business for your logo and the header image on your booking page, and Settings → Preferences for your brand colour and light or dark mode. The colour you pick is what your appointments, buttons and booking page use.
Your page already has an address of its own built from your business name, and that is what the Share button gives you. If you want it on a domain you own, write to us and we will set it up.
Yes, if you install the app and allow notifications. You are told when a customer books online, when a client moves or cancels, and when somebody writes to you — and a message that arrives while the app is open shows inside it.
Yes, on the Pro plan and above. Reviews arrive on their own screen where you decide which are published, and you can reply to each one. Published reviews show on your booking page.
For the things you have a limited number of — chairs, rooms, a laser machine. On the Business plan you record how many you have, and the resource calendar shows peak use and warns you when a day is overbooked.
Each payment you make produces a tax invoice-receipt, emailed to you when it is issued. If a payment went through before you filled in your legal name and tax ID, the invoice is raised automatically once you do — nothing is lost.
Your data
You and whoever you give a login to, and nobody else. Each business has a database of its own rather than a shared one, so another business on Lumea cannot reach your clients even by accident.
Yes — the whole system is backed up daily, and the copy is kept on a second server so one machine failing does not take your diary with it.
Yes. Clients export to a spreadsheet from the clients page, your documents export as the uniform file, and your takings export from Finances. If you need anything else, ask us.
From the account menu — it removes your business, its database and its files. What is kept, and for how long, is set out on our account deletion page, because tax documents have a retention period the law sets rather than us.
Message us on WhatsApp or write to us from the contact page — the number and the address are both there. We answer in Hebrew, English, Russian and Arabic.
